2. Booking and Reservations

Bookings may be made through our website, by telephone, by email or through our online booking system provided by Chauffeur Drive Systems Ltd (CDS).

All bookings are subject to availability and acceptance by All Executive Travel.

A booking is confirmed when we issue a booking confirmation by email or through our booking system.

Customers are responsible for ensuring that all booking information is accurate, including:

  • Passenger names and contact details

  • Collection and destination addresses

  • Travel dates and collection times

  • Flight numbers and airport terminals

  • Passenger numbers

  • Luggage requirements

  • Special assistance requirements

  • Additional stops or journey instructions

Customers must notify us promptly of any errors or changes.

We reserve the right to decline bookings where we are unable to provide the requested service safely, legally or within our operational capacity.

3. Quotations and Pricing

All quotations are based on the information provided at the time of the enquiry or booking.

Unless otherwise stated, the quoted price covers the agreed journey, vehicle and services specified in the booking confirmation.

Additional charges may apply for:

  • Additional waiting time

  • Unscheduled stops or route changes

  • Additional mileage

  • Extended chauffeur hire

  • Additional parking or toll charges not included in the quotation

  • Changes to collection or destination locations

  • Additional services requested during the journey

  • Cleaning or damage caused by passengers

Any additional charges will be explained where reasonably possible before they are incurred.

All prices are quoted in pounds sterling (GBP) unless otherwise stated.

Applicable VAT will be included or identified in accordance with relevant tax requirements.

4. Payment Terms

All Executive Travel accepts payments by debit card, credit card and cash, subject to the payment arrangements agreed at the time of booking.

Online Card Payments

Online payments are processed securely through Stripe, integrated with our booking system supplied by Chauffeur Drive Systems Ltd (CDS).

Customers may pay for their journey using the payment methods available through the online booking platform.

Cash Payments

Cash payments are accepted in pounds sterling (GBP), where agreed as the payment method at the time of booking.

Where a booking is arranged on a cash payment basis, payment is normally due to the chauffeur at the beginning of the journey, unless alternative arrangements have been agreed in advance.

Customers are responsible for ensuring they have sufficient funds available to settle the agreed fare and any additional charges incurred during the journey.

A receipt can be provided upon request.

Advance Payments

Some bookings may require full or partial payment in advance.

Where advance payment is required, the booking will not be considered financially secured until the required payment has been received.

Corporate Accounts

Approved corporate customers may be offered account facilities subject to separate written payment terms.

Outstanding Balances

Any outstanding balance must be settled in accordance with the agreed payment arrangements.

We reserve the right to refuse future bookings where previous invoices remain overdue.

5. Cancellation Policy

We understand that travel plans can change. However, chauffeur bookings involve reserving vehicles, drivers and operational resources specifically for the customer’s journey.

The following cancellation policy applies to standard bookings.

Cancellations More Than 24 Hours Before Collection

Bookings cancelled more than 24 hours before the scheduled collection time are eligible for a full refund of the journey charge, less a 3% payment processing fee where payment has already been made online through our booking system.

The 3% deduction covers the payment processing charges incurred when accepting the original online payment. No deduction applies to bookings paid in cash or where no payment has yet been collected.

Cancellations Within 24 Hours of Collection

Bookings cancelled less than 24 hours before the scheduled collection time may incur a cancellation charge of up to 100% of the agreed journey price.

Our standard late-cancellation charge is 100% where the short notice means the allocated vehicle, driver or reserved booking capacity cannot reasonably be reassigned and the resulting loss justifies that charge.

Where our actual loss is lower, including where we can reasonably reallocate the vehicle or recover costs, the cancellation charge will be reduced accordingly.

Cancellations After Driver Dispatch

Where a booking is cancelled after a driver has been dispatched, a cancellation charge may apply to cover reasonable costs already incurred and the resulting loss of the booking.

Cash Bookings and Unpaid Reservations

The cancellation policy also applies to bookings where payment was due in cash or had not yet been collected.

Where a valid cancellation charge applies, customers remain responsible for settling the charge even if payment was originally due on the day of travel.

Multiple Vehicle and Special Event Bookings

Bookings involving multiple vehicles, weddings, special events, extended chauffeur hire or bespoke arrangements may have different cancellation conditions.

Any special cancellation conditions will be communicated and agreed before the booking is confirmed.

How to Cancel

Cancellation requests should be submitted by email to info@allexecutivetravel.co.uk or by contacting us on 02393 090095.

The cancellation time will be determined by when we receive the request.

Where reasonably possible, we will acknowledge cancellations in writing.

Nothing in this cancellation policy affects your statutory rights, including rights arising where we fail to provide the agreed service.

6. Amendments to Bookings

Customers should notify us as soon as possible if they need to change an existing booking.

Changes may include:

  • Collection time

  • Collection address

  • Destination

  • Passenger numbers

  • Vehicle requirements

  • Additional stops

  • Flight details

We will make reasonable efforts to accommodate changes, subject to availability.

Where amendments increase journey distance, duration or operational costs, an additional charge may apply.

Significant changes requested within 24 hours of collection may be treated as a cancellation of the original booking and a request for a new booking where we cannot reasonably accommodate the changes.

Any applicable charges will be assessed in accordance with our cancellation policy and relevant consumer law.

7. Airport Transfers and Flight Delays

For airport collections, customers must provide accurate flight information, including the flight number, arrival date and airport.

Where flight monitoring is included in the booking service, we will make reasonable efforts to monitor the flight’s arrival status.

Flight Delays

Where a flight is delayed, we will make reasonable efforts to adjust the driver’s collection time based on the updated arrival information.

We cannot guarantee unlimited availability where delays are substantial or where changes affect other confirmed bookings.

We will communicate any additional charges or alternative arrangements where reasonably possible.

Early Flight Arrivals

Where a flight arrives earlier than scheduled, we will make reasonable efforts to accommodate the earlier arrival, although immediate collection cannot always be guaranteed.

Flight Cancellations

Customers must notify us as soon as they become aware that their flight has been cancelled.

Cancellation charges may apply in accordance with Section 5, taking account of the circumstances and reasonable losses incurred.

Incorrect Flight Information

We cannot accept responsibility for avoidable delays or missed collections caused by incorrect flight details supplied by the customer, except to the extent that we have failed to exercise reasonable care and skill.

8. Waiting Time

Waiting time may be included in the agreed journey price or charged separately, depending on the service booked.

Airport Collections

Airport bookings include the complimentary waiting period specified in the customer’s quotation or booking confirmation.

Additional waiting time beyond the included period may be charged at the applicable rate.

Non-Airport Collections

For collections from hotels, offices, residential addresses and other locations, the complimentary waiting period will be as specified in the booking confirmation.

Additional waiting time may be chargeable.

Waiting Time Charges

Any applicable waiting time rates and included allowances will be communicated before booking or identified in the booking confirmation.

Where possible, drivers will contact passengers before additional waiting charges begin.

9. Passenger No-Shows

A no-show occurs when a passenger fails to attend the agreed collection location and cannot be contacted or located despite reasonable attempts by the driver or our booking team.

Airport Collections

Drivers will follow the agreed collection arrangements and any applicable waiting period.

If the passenger cannot be located after reasonable contact attempts and the agreed waiting period has expired, the booking may be recorded as a no-show.

Other Collections

Where a passenger does not attend the agreed collection location, the driver will make reasonable attempts to contact them.

If the passenger remains unavailable after the applicable waiting period, the journey may be cancelled.

No-Show Charges

A no-show may result in a charge of up to 100% of the agreed journey price where the service was made available and the resulting loss justifies that amount.

Any charge will take account of costs saved or reasonably recoverable.

Passengers are encouraged to contact us immediately if they experience difficulty locating their driver.

10. Passenger Responsibilities

Passengers must behave responsibly and follow reasonable safety instructions provided by the chauffeur.

Passengers must:

  • Wear seatbelts where legally required

  • Avoid distracting the driver

  • Treat the vehicle and chauffeur respectfully

  • Comply with applicable road traffic legislation

  • Avoid damaging or excessively soiling the vehicle

  • Refrain from smoking or vaping inside the vehicle

  • Not carry illegal substances or prohibited items

We reserve the right to refuse or terminate a journey where passenger behaviour creates a genuine safety risk, involves unlawful conduct or constitutes serious misconduct.

Where a journey is terminated due to serious passenger misconduct, reasonable charges may apply for services already provided and losses directly resulting from the misconduct.

11. Luggage and Personal Belongings

Customers must provide accurate information about luggage quantities when making a booking.

All luggage must fit safely within the vehicle’s designated storage areas.

We may be unable to transport luggage that exceeds the vehicle’s safe capacity.

Passengers are responsible for checking that they have collected their personal belongings before leaving the vehicle.

If an item is left behind, we will make reasonable efforts to locate and arrange its return.

Reasonable delivery or courier charges may apply for returning lost property.

We are responsible for loss or damage to personal belongings to the extent required by applicable law, including where caused by our negligence.

12. Vehicle Availability and Substitutions

We make reasonable efforts to provide the vehicle type or category confirmed at the time of booking.

In exceptional circumstances, including vehicle breakdown, maintenance issues or operational disruption, we may offer an alternative vehicle.

Any substitute vehicle will, where reasonably possible, provide comparable passenger capacity, comfort and suitability.

Where an alternative vehicle is materially different from the agreed service, we will inform the customer and offer an appropriate remedy, which may include a price adjustment or refund.

13. Chauffeur Standards and Safety

All Executive Travel aims to provide a professional, reliable and comfortable chauffeur service.

Our chauffeurs are expected to:

  • Hold the licences legally required for the journeys they undertake

  • Operate vehicles in accordance with applicable legislation

  • Follow road safety requirements

  • Treat passengers professionally and courteously

  • Maintain appropriate standards of presentation and conduct

Journey times are estimates and may vary due to traffic, weather, road closures or other circumstances.

Our chauffeurs will not exceed speed limits or breach road traffic laws to meet a requested arrival time.

14. Delays and Circumstances Beyond Our Control

We make reasonable efforts to arrive at the agreed collection time and complete journeys within the expected timeframe.

However, circumstances outside our reasonable control may affect journey timings.

These may include:

  • Severe weather

  • Unexpected road closures

  • Major traffic incidents

  • Airport disruption

  • Industrial action

  • Emergency service incidents

  • Government restrictions

  • Other extraordinary events beyond our reasonable control

Where a delay occurs, we will make reasonable efforts to notify the customer and minimise disruption.

We will not be responsible for delays caused solely by events beyond our reasonable control where we have taken appropriate steps to manage the circumstances.

Nothing in these terms excludes liability arising from our failure to exercise reasonable care and skill.

15. Missed Flights, Trains and Appointments

Customers are responsible for allowing sufficient travel time when booking journeys to airports, railway stations, appointments and events.

We recommend allowing additional time for traffic, airport check-in procedures and other potential delays.

We will take reasonable care in planning and delivering the agreed journey.

Our liability for missed connections, appointments or consequential losses will depend on the circumstances, including whether any failure on our part caused the loss and whether the loss was reasonably foreseeable.

Nothing in this section limits rights that cannot lawfully be excluded.

16. Additional Stops and Route Changes

The agreed journey price is based on the route and itinerary confirmed at the time of booking.

Passengers may request additional stops or changes to their journey.

These requests are subject to:

  • Driver availability

  • Vehicle scheduling

  • Journey duration

  • Traffic conditions

  • Applicable legal and safety requirements

Additional mileage, waiting time or extended hire may result in additional charges.

Where possible, these charges will be agreed before the additional service is provided.

17. Vehicle Cleaning and Damage

Passengers are expected to leave vehicles in a reasonable condition.

Additional cleaning charges may apply where a vehicle requires specialist cleaning due to excessive soiling, including spillages, bodily fluids or other contamination.

Customers may also be responsible for reasonable repair costs where damage is caused deliberately or negligently by passengers.

Any cleaning or repair charges will be based on reasonable, evidenced costs and will not be imposed as an arbitrary penalty.

18. Child Passengers and Child Seats

Customers must inform us when travelling with children and provide any relevant child seat requirements when making a booking.

Child restraints and seating arrangements must comply with applicable road traffic legislation.

Where child seats are requested, availability and any additional charges will be confirmed before the booking is accepted.

Children must be accompanied and supervised as required by law and the agreed booking arrangements.

19. Accessibility and Special Assistance

We aim to accommodate passengers with accessibility requirements wherever reasonably possible.

Customers are encouraged to advise us of relevant requirements when making a booking so that we can arrange a suitable vehicle and service.

We will comply with applicable equality legislation and will not unlawfully discriminate against passengers with disabilities.

Any assistance requirements will be handled respectfully and confidentially.

20. Booking Through Third-Party Systems

Our website uses a booking platform supplied by Chauffeur Drive Systems Ltd (CDS).

The booking system facilitates journey reservations and integrates with Stripe for online payment processing.

All Executive Travel Ltd remains responsible for providing chauffeur services under bookings accepted by us.

Third-party technology providers may have separate terms governing their own platforms and payment services.

Customers should refer to our Privacy Policy for further information about how personal information is processed.

21. Refunds

Where a refund is due, it will normally be issued to the original payment method used for the booking.

Card Payments

Refunds for card payments will normally be processed through Stripe to the original payment method.

Processing times may vary depending on the payment provider and the customer’s bank.

Cash Payments

Where a journey was paid for in cash and a refund is due, the refund will be arranged by an agreed method, which may include bank transfer or cash repayment.

Cancellation Refunds

Any refund will reflect the applicable cancellation policy, the circumstances of the booking and the customer’s statutory rights.

Where we cancel a booking and cannot provide an agreed alternative service, customers will normally receive a full refund for the service not provided.

22. Our Right to Cancel a Booking

We may cancel or refuse a booking where:

  • The requested journey cannot lawfully or safely be provided

  • A customer provides materially incorrect booking information that prevents fulfilment

  • Required payment has not been made

  • A passenger engages in serious misconduct

  • Extraordinary circumstances make it impossible to provide the service

Where we cancel a booking for reasons not caused by the customer, we will provide an appropriate refund of payments received for services not provided.

We will make reasonable efforts to notify customers promptly and, where practical, assist with alternative arrangements.

23. Liability

We will provide our services with reasonable care and skill.

Nothing in these Terms & Conditions excludes or restricts liability for:

  • Death or personal injury caused by negligence

  • Fraud or fraudulent misrepresentation

  • Breach of statutory consumer rights

  • Any other liability that cannot legally be excluded or restricted

We are not responsible for losses caused by inaccurate information supplied by customers, events genuinely outside our reasonable control or circumstances where we have not breached our contractual or legal obligations.

Where we are responsible for a loss, our liability will be determined in accordance with applicable law.
